Why it helps
Planning a family road trip, a week of dinners or a house move is mostly juggling: who's coming, what it costs, how far, what needs booking. It's the blank page that's tiring. AI gives you a first draft in a minute, laid out the way you want, so you can spend your time tweaking it rather than starting from scratch.
It's best at structure: day-by-day plans, shopping lists, packing lists, checklists. It's not reliable on live details like opening hours, prices and road closures, so you check those yourself.
The prompt
Copy it, swap the bits in [square brackets], and paste it into ChatGPT, Claude, Gemini or Copilot.
Help me plan [what, e.g. a 3-day road trip / a week of dinners / moving house]. I'm in New Zealand, so use NZ English and NZ places. Details: - Who: [e.g. 2 adults and 2 kids, aged 8 and 11] - When: [dates or season, e.g. April school holidays] - Budget: [e.g. budget-friendly, or about $X] - Must haves: [e.g. max 3 hours driving a day, rainy-day options, one vegetarian] - Starting from: [town] Give me: 1. A simple day-by-day (or step-by-step) plan. 2. A list of costs I'll need to budget for. Don't make up prices. Write "check current price" where you don't know. 3. A packing list, shopping list or checklist, whichever fits. 4. Anything I should book or sort out ahead. If you're not sure something is still open or running, say so.

Swap day 2 for something that works if it rains all day.
Make it cheaper. What could we drop or swap?
Turn this into a printable checklist with tick boxes.
Plan 5 dinners using mince, rice, frozen veg and whatever's cheap in season. Add a shopping list.
Make me a moving house checklist, week by week, starting 6 weeks out.
Step by step
- Write down the basics: who, when, budget, where from and your must haves.
- Fill in the prompt and paste it in.
- Read the draft and ask for changes in plain words: "less driving", "more beach", "cheaper".
- Check every place, opening time, price and booking yourself on the official websites. Check road conditions before you leave.
- Copy the final plan into your notes app or print it, and share it with whoever's coming.
Worked example
Example details are made up. Your results will vary, so always read and check before you use them.
Watch out for
- AI often has old information. It can suggest places that have closed, prices that have changed, or walks that are shut. Check opening hours and prices on the official websites.
- Check road conditions and closures on the NZTA journey planner (journeys.nzta.govt.nz) and track alerts on doc.govt.nz. Driving times from AI are rough, so check them in a maps app and allow extra time with kids.
- Privacy: you don't need to share your home address, kids' names or exact dates you'll be away. "From Christchurch" and "April school holidays" is plenty.
- For meal plans, double-check any allergies or dietary needs yourself. Don't rely on AI to know what's safe for someone with a food allergy.
Go further
Once you've got a plan you like, ask AI to save it as a template you can reuse, like "3-day trip with kids" or "budget week of dinners". If money is the tight part, pair this with the [household budget](/use-cases/household-budget) use case so the trip fits your monthly plan.
